Campus Departure Plan

2022-2023

Prior to returning for the 2022-2023 Academic year, all parents and guardians of Oldfields students are required to complete the following Campus Departure Plan. As our Oldfields and global communities move in a hopeful direction amidst a lingering pandemic, our campus policies and protocols will continue to support the health and safety of our faculty, staff, students, and extended community members. While we look forward to a fall semester with minimal COVID-19 policies in place, we ask for your support in providing the following information in the event of your student’s required departure from campus for a period of time due to illness, a quarantine period, or in the unlikely event of a temporary campus evacuation.

Contact Information

Please provide the name of your Oldfields student. Families completing registration forms for more than one enrolled student should complete separate Campus Departure Plan forms for each individual student.

(DAY & BOARDING) Please provide the name(s) and contact information for the individual(s) serving as the first point of contact in the event that Oldfields School initiates the campus departure plan for your student.

(BOARDING ONLY) Please provide the name(s) and contact information for the individual(s) responsible for transporting your student off campus. Should this primary contact be unavailable or unable to serve in this role at the time of need, please provide the name(s) and contact information for a secondary contact and/or method of transportation for your student. *Private cars and ride shares are permitted with the parent/guardian’s permission and at their own expense. (Please remember, these services may not be available or may not allow your student to be a passenger if they are ill or visibly symptomatic).

(BOARDING ONLY) Please provide the address and contact information for the individual(s) who will be responsible for your student during this time off campus.

Parent/Guardian Partnership and Signatures

By completing this form with my signature, I agree to support the safety and health of the Oldfields School community. I understand that this Campus Departure Plan may be enacted in the event that my Oldfields student exhibits symptoms consistent with COVID-19 or other communicable illness, tests positive for COVID-19 and/or if a school nurse or the Director of Health Services determines my student’s condition is such that a separation from the campus is in the best interest of the student and the Oldfields community.

The Health Services team requires the signatures of all parents or guardians who are contractually partnered with Oldfields School, including when parents are married and/or sharing one household.

We require this to ensure that all adults responsible for the student are aware of the Campus Departure Plan and subsequent details.

  • I/We, the undersigned, agree to the plans above and understand that we are responsible for the departure of my/our student from Oldfields' campus once I/we or our designated guardian/caretaker is notified.
  • I/We understand that my/our daughter’s return to campus must be approved by Oldfields' Director of Health Services or her designee and we must follow the Director of Health Services or her designee’s instructions for return, including any on-campus expectations or procedures after her return.

Technology Acceptable Use Policy (AUP)

2022-2023

Our goal in providing technology to the Oldfields community is to promote educational excellence by facilitating resource sharing, innovation, and communication. Oldfields School is committed to maintaining a student-centered environment where learning is an active process and students are free to discover knowledge in the style that is most effective for them. Technology should support both the needs of the student and the needs of the curriculum, and it must be an integral part of the community if the students of Oldfields are to be adequately prepared for the challenges of the future.

We believe that the Internet offers vast, diverse, and unique resources that have great educational value. While the benefits of the Internet are enormous, parents need to be aware that it is an open system, which contains pockets of material that many people find offensive. Access to such materials is actively discouraged. While Oldfields School exceeds the filtering standards set forth by the U.S. Government in the CIPA standards (https://www.fcc.gov/consumers/guides/childrens-internet-protection-act), in a global network it is impossible to guarantee that your daughter will not encounter text, pictures, or references that some may find objectionable. We firmly believe that the valuable information and global interaction available on this worldwide network far outweighs the risk of uncovering questionable material, but we ask for your assistance in developing responsible attitudes, reinforcing appropriate behaviors, and observing security practices on our network.

Oldfields School Technology Terms and Conditions

Note: Throughout this document when the term network(s) is/are used it refers to the local computer network, hosted email and file storage/sharing, and/or the school phone/voicemail system

  • Using the School network(s) to send/receive a message under another user’s name

  • Using or borrowing another user’s computer, tablet device, phone, or phone calling card without permission

  • Using technology to harm another individual or organization, either through the school network(s) or from home

2. Privileges - The use of the network(s) is/are a privilege, not a right, and inappropriate use will result in the cancellation of that privilege as well as possible review by the School Judiciary Board. The School administration will deem what is inappropriate use, and its decision is final. The administration, faculty, and staff of Oldfields School may request the system administrator to deny, revoke, or suspend specific user accounts if necessary. The system administrator may disable an account at any time if deemed necessary. Oldfields School and its administrators may modify policies regarding technology use at any time and expect users to abide by such modifications.

  • E-mail and voicemail are not guaranteed to be private. The system administrators who operate the system do have access to all messages. Messages relating to or in support of illegal activities may be reported to the School Judiciary Board and/or the appropriate authorities.

  • All students and faculty are expected to check their School e-mail and voicemail (where applicable) daily (Monday-Friday) to keep abreast of time-sensitive information.

  • Smart speakers (i.e. “Alexa”, Google Home, Apple Home Pod, etc.) are not supported; students should not bring them to school

5. Social Networking and Picture/Video Sharing - (Facebook, Instagram, YouTube, Twitter, etc.)

The success of this community is dependent on members upholding the core principles of the School.
While the School does not have a formal honor code, students assume the responsibility of supporting and maintaining a healthy environment.

All expectations and standards described in the Guidebook should be followed when using any website, either through the school network(s) or from home. In addition, the following code of conduct is expected of all Oldfields students.

Code of Conduct (in addition to the core principles listed above)

  • Language
    - Excessive profanity is prohibited on your social networking page(s) including comments posted by friends or visitors to the page.
    - There may be no threatening or harassing comments either from the student or in comments posted by others.
    - Any slanderous, libelous, or negative comments about Oldfields School or its constituents are prohibited.

  • Live Video Chat (e.g. Skyping, FaceTime, etc.)
    - During the academic/work day you may video chat in Rodney if:

    • specific permission is given by a teacher during that teacher’s academic class
    • and you stay in the presence of that teacher

    - You are not to create or participate in social networking sites/pages that damage Oldfields’ public image.

If any malice is suspected on your social networking/video page, a member of the school administration must be granted access to the aforementioned page on a moment’s notice. Please inform the Oldfields Technology Department of any messages/emails/postings you encounter that you deem uncomfortable or threatening. It is a good idea to print out the material in case the offender edits/deletes the posting before action can be taken.

6. Warranties and Support - Oldfields School makes no warranties of any kind, whether expressed or implied, for the service it is providing and will not be responsible for any damages suffered. This includes, but is not limited to:

Oldfields’ Technology Department will support only approved hardware and software. Any hardware or software installed, that has not been approved by Oldfields School, will not be supported. Any problems that are created by non-approved hardware or software will be the responsibility of the student or faculty/staff member.

The Oldfields Technology Department will only support computers that have the operating system installed in the English language.

Oldfields is responsible for providing a working phone jack with local dial tone for a student by request. We are not responsible for providing the physical phone-set. The analog phone-set is the responsibility of the student/family. As stated in section #4, students in the dorms do not have access to their own dedicated network/Internet connection and they should not bring VOIP (Voice Over Internet Protocol) phones to school.

7. Security and Safety - Security on any system is a high priority, especially when the system involves many users. If you feel you can identify a security problem on the network(s), you must notify the Oldfields Technology Department immediately. Do not demonstrate the problem to other users. Such misuse could result in the cancellation of the involved parties’ account(s)/service. Attempts to log onto the network(s) as a system administrator will result in cancellation of user privileges.

We strongly suggest that users never leave their computers/tablets/phones unattended or in unlocked rooms or lockers (for day students). Oldfields takes no responsibility for loss of hardware that was left unattended/unsecured.

All device cables (especially power cords/chargers) should be in good condition. Use of cables with exposed wires is forbidden, and covering such exposed wires with electrical tape is not acceptable. This is a matter of health and safety.

8. Right to Use- Various pieces of software may be loaded on student and faculty/staff-owned computers during their time at Oldfields. As long as the individual is a member of the Oldfields community they have the right to use this software. Upon departure from Oldfields, an individual’s right to use this software is voided. The software must be removed! The Oldfields Technology Department will assist with this software removal. Anyone who leaves without seeking assistance takes responsibility for removal of this software.

9. Vandalism/Damages - Vandalism is defined as any malicious attempt to harm or destroy hardware, software, or the data of another user, the Internet, Oldfields School, or any agency or organization connected to the Oldfields network(s). This includes, but is not limited to, physical damage and the creation or uploading of computer viruses. Vandalism will result in cancellation of network(s) privileges.

You are prohibited from defacing school-owned equipment (e.g. desktops, laptops, tablets, printers, phones, etc.). Defacing includes, but is not limited to, adding stickers, drawing on, removing important factory labels/IDs, changing the color of a device, etc.). This is considered to be damage and could result in a monetary fine to repair/replace the damaged part.

Users (i.e. students, faculty/staff and guests) will be held accountable for loss of or damage to any school-owned equipment (e.g. computers/tablets, printers, phones, cables, AC adapters, cameras, wiring, accessories, etc.) borrowed from or provided by the Oldfields Technology Department. They are monetarily responsible for repair cost or total replacement cost, with a comparable device chosen by the Oldfields Technology Department.

PARENT OF STUDENT USER:

I understand that my student will be expected to abide by the terms and conditions for the use of the school network, computer related technology, and phone system at Oldfields School. Technology Requirements

Oldfields is a “bring your own device” (BYOD) program that requires students to bring a mobile device (other than a smartphone) to school each day for use in the classroom. Allowing students to use a device they are comfortable with will simplify the process and allow them to focus on the material at hand. In addition, it allows more opportunities for personalized learning so that students can excel at their own pace.

ACCEPTABLE EXAMPLES INCLUDE:

  • Tablets with a full-size keyboard
  • PC laptops
  • Mac laptops
  • While Chromebooks and other ChromeOS devices may suffice, they are discouraged.

The devices must have the ability to take photographs; record audio and video; word process; upload and download media, and transmit or receive messages or images with Wi-Fi capabilities. It is required that mobile devices be configured to Oldfields' campus network.

A smartphone is not considered to be an acceptable device for the BYOD academic program, although there may be times when it is utilized in the classrooms as a supplemental technology tool.

*The Oldfields Technology Department can only support devices that have all its software in the English language.

All laptops must have up-to-date antivirus software with a full support subscription for the student’s time at Oldfields through graduation.

College Guidance Office Transcript and Supporting Materials Release Form

I authorize Oldfields School to submit an official transcript, counselor recommendations, teacher recommendations, and any other supporting documents to the institutions to which my daughter has submitted applications. In making this request, I grant Oldfields (and its employees) permission to provide these institutions with any information about my daughter that Oldfields believes is relevant to my daughter's application. I also acknowledge that I have read the School Guidebook concerning college guidance, applications, and applicable procedures, but recognize that those statements in no way limit the specific authorizations that I provide in the Release Form. I specifically confirm that Oldfields School is not subject to the Family Educational Rights and Privacy Act.

I also confirm that recommendations and other documents (other than official transcripts) that are forwarded by Oldfields to any institution to which my daughter has applied are confidential and may not be reviewed by myself, my daughter, or anyone acting on my daughters behalf, whether at the time of submission of those materials to any institution or thereafter.

I also acknowledge and agree that any changes in my daughters academic or disciplinary status occurring after Oldfields has provided a transcript, recommendations, or other materials, will be communicated to all colleges to which my daughter has applied, regardless of whether the college has asked for the information in its materials.

Student Media Waiver

Oldfields School’s ability to portray its program accurately and vibrantly depends on families’ support of the School’s use of images of students and students’ work. Therefore, I/we authorize the School, its successors and assigns, and those acting within its permission and upon its authority, to use the Student’s name, photographic image (including, but not limited to, portrait, picture, video, or other reproductions), audio recordings of the Student’s voice, video recordings of the Student, and likeness, in written or in electronic format, and reproductions of the Student’s work, including media from a remote learning context (collectively referred to herein as “Student Media Information”) in the School’s publications, marketing and promotional materials, website, press releases, advertising media, and/or social media accounts (including, but not limited to, Facebook and Instagram).

I/We waive the right to inspect or approve the finished product, including written or electronic copy, wherein the Student Media Information appears. I/We acknowledge the School’s right to crop or alter any photographic image of the Student at its discretion. I/We authorize the School to use the Student Media Information, as described herein, on more than one occasion, without limitation to the number of times it is used, in perpetuity. I/We authorize the School to reproduce, or cause to be reproduced and used, the Student Media Information described herein. I/We shall not be entitled to receive any compensation for such use, and I/we hereby release the School, its successors and assigns, and those acting within its permission and upon its authority, from any liability, responsibility, or claim that may arise by reason of any exercise of the authority granted above.

If I/we do not consent to such use, I/we agree to notify Communications@OldfieldsSchool.org in writing prior to the first day the student arrives on campus. Media release permission is not shared with students or parents and does not ensure Student Media Information will not appear, if published by a student, parent, or other individual, or in student-run publications or student-run social media sites. While the School strives to abide by parent/guardian wishes, it does not guarantee incidental uses of a student’s name or image will never occur.

Please type your full name.
If you do not wish to give permission for Oldfields to use either your student's name and/or your photo/video, please contact Communications@OldfieldsSchool.org.

Student Debit Account

All students are required to have a personal debit account at Oldfields School. It is meant to be fully funded at all times and is used to process non-tuition related charges. In general, this includes charges for Riding, Academic Strategies Program (ASP), Winter Program, May Program, School Store, Weekend Activities, Allowances, Student Transportation, etc. Starting with the 2022-23 school year, you will be able to see your tuition and debit accounts all in one place with FACTS. Please note the following:

  • Families will have access to their debit account activity and balance at all times through FACTS and will receive regular e-mail updates when activity is posted.

  • Transactions supported by a formal agreement (i.e., Riding Fees, ASP, Winter Program, May Program, Student Transportation, etc.) will be invoiced through FACTS.

  • Oldfields reserves the right to deny charges due to a lack of funds. This may require certain activities to be put on hold until payment is made.

  • An e-mail from a parent/guardian is required before we can fulfill money requests above the student’s weekly allowance. This need is most typical around School breaks.

  • Deposit amounts vary based on the expenses you plan on incurring.

  • Debit accounts are funded through FACTS. ACH payments are free of charge and there is a nominal fee for credit card payments.

2023-24 Update:  Oldfields School will no longer process allowances starting with the 2023-24 school year. We are providing this one-year notice so families can think about the best way for them to move forward. We find that a debit or credit card works well and allows for individually set restrictions.

($50.00 weekly maximum)
